Who we are
CreationHub Media is a London-based video and photo production company. We tell stories for brands, businesses and people, and we treat the information you share with us with the same care we bring to our work.
This policy explains what personal information we collect when you visit our website, get in touch, or work with us, and how we look after it. When we say "we", "us" or "our", we mean CreationHub Media, CreationHub Media Ltd (company number 11848654), of 27 Old Gloucester Street, London, United Kingdom, WC1N 3AX. We are the data controller for the personal information described here.
If you have any questions, you can reach us at info@creationhub.media.
What information we collect
We only collect what we need to reply to you, plan and deliver your project, and run our business.
Contact details – your name, email address, phone number and company name, when you fill in our contact form, email us, message us on social media or call us.
Project information – details you share about your brief, event, dates, locations and budget, so we can quote and plan the work.
Billing information – billing name, address and invoice details. We don't store card details; payments are handled by our bank or payment provider.
Website usage information – your IP address, browser type, device, pages visited and how you found us, collected through cookies and analytics tools (see Cookies and analytics below).
Footage and images – photographs, video and audio recorded during a shoot, which may include you or other people (see Client footage, photography and people on camera below).
We don't knowingly collect information from children through our website. Where young people appear in client work, we only film them with the consent of a parent or guardian.
How and why we use your information
UK data protection law asks us to have a lawful reason for each use of your information. Here's what we do and why.
What we do
Our lawful basis
Reply to your enquiry and send you a quote
Steps before entering a contract, or our legitimate interest in responding to people who contact us
Plan, film, edit and deliver your project
Performance of our contract with you
Send invoices and keep financial records
Legal obligation (tax and accounting rules)
Improve our website and understand what's working
Your consent for analytics cookies; legitimate interests for basic site performance
Show finished work in our portfolio, website or social channels
Our legitimate interest in showcasing our work, agreed with clients in advance, or consent where needed
We will never sell your personal information, and we won't use it for purposes you wouldn't reasonably expect.
Client footage, photography and people on camera
Our work means capturing people on camera, and we take that seriously. Footage and images are recorded for the client who commissioned them, and they decide how the final work is used.
Contributors and interviewees – anyone featured prominently, such as in an interview, is asked to sign a release form or verbally agrees to be on camera before or on the day of filming.
Events and public spaces – at events, guests may appear in the background of footage. We work with event organisers so attendees are told filming is taking place.
Storage and sharing – raw and edited footage is stored securely and shared with the client through private links. We don't share it with anyone else without permission.
Our portfolio – we may feature finished work on our website and social channels where the client has agreed. If you appear in our work and would like to be removed, contact us and we'll do our best to help.
If you've been filmed and have questions about how your image is used, please get in touch with us or with the client who commissioned the project.
Cookies and analytics
Cookies are small files saved on your device when you visit a website. We use them to keep our site working and, with your permission, to understand how people find and use it.
Essential cookies – needed for the site to work properly, for example to load pages securely and remember your cookie choices. These don't need your consent.
Analytics cookies – set by Squarespace's built-in analytics, which tell us which pages are visited and how people arrive. We only set these if you accept them.
Our showreels and project videos are hosted from our own storage rather than third-party players such as YouTube, so watching them doesn't set any extra cookies.
You can change your cookie choices at any time using the cookie banner on our site (provided by Squarespace, our website host), or through your browser settings.
Who we share it with
We only share your information with people who help us run the business, and only what they need:
trusted freelancers, such as camera operators, editors or sound recordists, working on your project
our website host and platform Squarespace
Google, for email and cloud storage
our accountant, bank and payment providers
authorities, where the law requires it
Everyone we work with is expected to keep your information secure and use it only for the job we've asked them to do.
International transfers
Some of the services we use may store data outside the UK. When this happens, we make sure appropriate protections are in place, such as UK adequacy regulations or approved contract terms.
How long we keep it
We keep your information only as long as we need it:
Enquiries that don't go ahead – deleted 1 month after the conversation goes quiet
Client and invoice records – 6 years after the end of the financial year, as required for tax purposes
Raw project footage – 1 year after delivery, then deleted, unless agreed otherwise with the client. Finished work may be kept for our portfolio.
Keeping it secure
We use password-protected accounts, two-factor authentication and secure cloud storage, and we limit access to people who need it. No system is ever completely secure, but we take sensible steps to protect your information.
Your rights
Under UK data protection law, you have the right to:
ask for a copy of the personal information we hold about you
ask us to correct anything that's wrong or incomplete
ask us to delete your information
ask us to limit how we use it, or object to us using it
ask us to transfer it to you or another organisation
withdraw your consent at any time, where we rely on it
To use any of these rights, email us at info@creationhub.media. We'll reply within one month, and there's usually no charge.
Making a complaint
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
